Privacy Policy

    Version 2.0 · Last updated: October 2026

    Introduction

At stageOS, your privacy isn’t just a policy — it’s a promise. We believe your data is yours, period. This policy explains how we collect, use, and protect your information while maintaining full compliance with Saudi Arabia’s Personal Data Protection Law (PDPL) and its Implementing Regulations.

    Who We Are

stageOS is operated by Sirat Al Faaliyat Company for Organizing Exhibitions and Conferences (trading as Safira), CR 7049355956, Riyadh, Kingdom of Saudi Arabia.

    • Events organised by Safira: Safira is the controller of your data, including event photography and video.
    • Events run by other organisers on stageOS: that organiser is the controller of your registration data and event media. stageOS processes the data on their behalf. Their own privacy terms apply alongside this policy.

    Data We Collect

Account Information: Your name, email, and organisation details when you create an account.

Profile Photo: A headshot, if you upload one, used on your profile, badge, and networking features.

Usage Data: How you interact with our platform, used to improve your experience.

Event Content: Information you provide about your events, speakers, and guests.

Event Registration Data: When you register for an event, we collect your name, email, phone number, company, job title, country, and attendance preferences to process your registration and facilitate your event experience.

Event Photography and Video: Images, video, and audio recorded at events, as described in the Photography, Video and Live Streaming section below.

    Event Registration Privacy

When you register for an event through our platform, your registration data is used for the following purposes:

    • To process and confirm your event registration
    • To send you important event-related communications (schedule updates, venue changes, etc.)
    • To provide you with event materials and access credentials
    • To facilitate networking opportunities with other attendees (only with your explicit consent)
    • To improve future events based on attendance patterns and feedback

Event organisers may access your registration information to manage their events effectively. Your data is never sold to third parties. Marketing communications require your separate opt-in consent.

Photography, Video and Live Streaming at Events

What to expect. Events organised by Safira or hosted on stageOS may be photographed, filmed, recorded, or live-streamed by official event photographers and media teams. You may appear in these materials, either as the focus of a shot or as part of a group or crowd.

How event media is used. We and the event organiser may use event photos and video for:

    • event recaps and highlight videos
    • social media and website content
    • promoting future events
    • case studies and reports to partners and sponsors
    • press and media coverage

Your consent. When you register, you will be asked to confirm that you have read this section and agree to be photographed and filmed at the event for these purposes. Your agreement is recorded with the date and the version of this policy you accepted.

    Your choices:

    • At the event. Ask at check-in for a “No Photography” lanyard or badge. Our photographers are briefed to avoid capturing people wearing it.
    • In the moment. Tell any official photographer or staff member you’d rather not be captured.
    • Filming zones. Stages and designated filming areas are signposted. Being in these areas makes capture more likely.

Changing your mind. You may withdraw your consent at any time by contacting events@safiraevents.com. After a request:

    • We will stop using your image in any new materials.
    • Within 30 days, we will remove or blur you from content we control where this is reasonably practicable.
    • We cannot recall printed materials that have already been distributed.
    • We cannot recall independent press coverage, or content that others have already downloaded or reshared.
    • Wide group or crowd shots where you are not identifiable or not the focus may be retained.

Content created by others. Other attendees, press, sponsors, and venues may take their own photos and video. That content is their responsibility, not ours. We ask everyone at our events to respect other people’s privacy in line with Saudi law.

No facial recognition. We do not use event images or your profile photo for facial recognition or biometric identification. If we ever introduce such a feature, it will require your separate, explicit consent.

Speakers and minors. Speakers’ recording terms are set out in their speaker agreement. Minors may appear in event media only with the consent of a parent or guardian.

    How We Use Your Data

We use your data to deliver and improve our services — nothing more. Noura, our AI co-pilot, analyses event data to provide intelligent matching recommendations. She does so only with your data and under your control.

    Legal Basis

We process your data on the following grounds:

    • your consent, for example for event media, networking, and marketing
    • the performance of your registration or service agreement
    • our legitimate interests in running and improving events, where permitted by law
    • compliance with legal obligations

    Your Rights

    You’re in control. You can:

    • access, correct, or delete your data at any time
    • withdraw consent for processing
    • request data portability

Contact us at events@safiraevents.com for any request. We respond within 30 days.

    Data Retention

    • Registration data: retained for 24 months after the event date to support post-event communications and analytics.
    • Event photography and video: retained as part of the event archive for as long as needed for the purposes above.
    • Published content: may remain publicly available until you ask us to remove it.

You may request deletion of your data at any time by contacting the event organiser or our privacy team.

    Security

We employ KMS-managed encryption for all data, multi-factor authentication, and comprehensive audit trails. Our security infrastructure is enterprise-grade, because your trust deserves nothing less.

    Limitation of Responsibility

To the fullest extent permitted by applicable law, Safira is not responsible for:

    • photos, video, or other content created or shared by attendees, press, sponsors, venues, or other third parties
    • content that third parties reshare after we have published it
    • independent media coverage of events

Nothing in this policy limits your rights under the PDPL or any liability that cannot be excluded by law.

    Changes to This Policy

We may update this policy from time to time. Each version is dated and listed in the revision history below. Material changes will be notified to registered users. The version you accepted at registration applies to that event.
